I think you're probably right that the way to go is to do it via a password
file.

What would be great would be if I could share their username and password
that is used for them to log into their email account.

ie Enable them to be able to set the following in Outlook.

Outgoing server requires authentication
Use Same Settings as Incoming Server option ticked.

Is it possible for exim to examine the passwd or shadow file for this
purpose ? Or is that considered unwise ?
